The rules and conditions governing your use of the QuickBill platform.
Please read these terms carefully. By creating a QuickBill account or using any part of the QuickBill service, you agree to be bound by these Terms of Service and our Privacy Policy.
These Terms of Service ("Terms") form a legally binding agreement between you ("User", "you") and QuickBill, operated by Kanvas CS ("QuickBill", "we", "us"), governing your access to and use of the QuickBill platform, website, Android app, and related services (collectively the "Service").

QuickBill is a cloud-based business management platform designed for South African small businesses and freelancers. The Service includes:
We reserve the right to modify, suspend, or discontinue any feature of the Service at any time. We will provide reasonable notice where practicable.
To use QuickBill, you must register for an account. You agree to:
You may only hold one active account per business entity. Creating multiple accounts to circumvent usage limits or subscription restrictions is prohibited.
QuickBill offers subscription plans as published on our pricing page. Pricing is in South African Rand (ZAR) and is inclusive of VAT where applicable.
Subscription fees are billed in advance on a monthly or annual basis, depending on the plan you choose. Payments are processed securely by PayFast. By subscribing, you authorise us to charge your chosen payment method on each billing date.
Subscriptions renew automatically at the end of each billing period unless you cancel before the renewal date. You will receive a reminder before each renewal.
We may change subscription prices from time to time. We will notify you at least 30 days before a price increase takes effect. Your continued use of the Service after the effective date constitutes acceptance of the new price.
Subscription fees are non-refundable except where required by South African consumer protection law. If you believe a charge was made in error, contact us within 7 days at support@quickbill.co.za.
If a payment fails, we will notify you and attempt to collect payment again. If payment remains outstanding after 7 days, we may suspend your account until payment is received.
New users receive a 30-day free trial with access to the core QuickBill features. No credit card is required to start a trial. At the end of the trial period:
QuickBill reserves the right to modify or withdraw the free trial offer at any time.
You agree to use the Service only for lawful business purposes. You must not use QuickBill to:
Violation of these terms may result in immediate account suspension or termination without refund. We reserve the right to report suspected illegal activity to the relevant authorities.
You retain full ownership of all data, invoices, client information, and content you upload or create within QuickBill ("Your Content"). We do not claim any ownership rights over Your Content.
By using QuickBill, you grant us a limited, non-exclusive licence to store, process, and transmit Your Content solely for the purpose of providing the Service to you. We do not access your content for any purpose other than service delivery, support, and security monitoring.
You are solely responsible for the accuracy and legality of the content you create and send through QuickBill, including invoice amounts, client details, and descriptions of goods or services.
You may export your data at any time from within the QuickBill dashboard. We recommend taking regular backups of your data.
The QuickBill platform, including its software, design, trademarks, logo, and written content, is owned by Kanvas CS and is protected by South African and international intellectual property laws.
You may not copy, reproduce, modify, distribute, or create derivative works from any part of the QuickBill platform without our prior written permission.
Any feedback, suggestions, or ideas you provide to us about the Service may be used by us freely without any obligation to you.
QuickBill integrates with third-party services including PayFast, WhatsApp Business API, Firebase, and SMS gateways. Your use of these integrations is also governed by the respective terms and policies of those third-party providers.
We are not responsible for the availability, reliability, or actions of any third-party service. Disputes relating to payments processed by PayFast must be directed to PayFast.
When you choose to send invoices or quotes via WhatsApp, you confirm that you have the recipient's permission to contact them on WhatsApp for business purposes.
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, to the fullest extent permitted by South African law.
We do not warrant that:
QuickBill is a business management tool, not a licensed accounting, legal, or financial advisory service. Any information provided within the platform is for convenience only and does not constitute professional advice.
To the maximum extent permitted by South African law, QuickBill and Kanvas CS shall not be liable for any indirect, incidental, special, or consequential damages arising out of or related to your use of the Service, including but not limited to:
Our total liability to you for any claim arising from or related to these Terms or the Service shall not exceed the total subscription fees you have paid to us in the 3 months preceding the claim.
Nothing in these Terms limits or excludes liability for fraud, gross negligence, or any liability that cannot be excluded under the Consumer Protection Act 68 of 2008 or any other applicable South African law.
You may cancel your QuickBill account at any time from your account settings or by contacting support@quickbill.co.za. Cancellation takes effect at the end of your current billing period. No partial refunds are provided for unused time.
We may suspend or terminate your account immediately, without notice, if:
Upon termination, your right to access the Service ends immediately. Your data will be retained for 14 days after termination, during which time you may request an export. After 14 days, your data may be permanently deleted, subject to our legal retention obligations.
These Terms are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising from or related to these Terms or the Service shall be subject to the exclusive jurisdiction of the South African courts.
Before initiating any legal proceedings, you agree to first attempt to resolve any dispute with us by contacting support@quickbill.co.za and allowing 30 days for resolution.
We may update these Terms from time to time to reflect changes in the Service, applicable law, or our business practices. When we make material changes, we will:
Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Terms. If you do not agree to the new Terms, you must stop using the Service and cancel your account.
